Live Access is a private, invitation-only ticket management system for tracking and processing VIP requests and private ticket holds for friends, family and industry representatives.  Live Access offers a unique combination of settings that are not possible in a traditional ticketing system.  For example, just because somebody requests VIP tickets does not mean they are available.  The amount of inventory may increase or decrease based on demand for a particular show.  Exact pricing is not always know at the time the request is made. Sometimes ticket charges are processed by the venue, but not always.  Venues may not collect service fees on behalf of the tour.  These are just a few of the unique challenges faced when maintaining a VIP guest list for a large scale tour.

A Rich Request Management User Interface

Guest lists are often managed using spreadsheets. On the plus side, spreadsheets are simple and fast to edit. The downside is that it’s not so easy to break out the requests and examine the list in a multitude of ways.  Modern tours may have ticket allotments and request limits for the label, for sponsors as well as the band and crew. Simple guest lists are great for one day, but what about reporting on service fee profits across an entire tour, or reconciling with the label on a weekly basis?

The Live Access management UI is the heart of the system.  Our rich interface takes the best aspects of a spreadsheet and allows you to simply click and edit a cell.  However the data is tightly organized, allowing you to arrange and generate reports that give you total visibility of your guest requests.

Request History

Guest requests are often made by one person on behalf of somebody else. The tour manager may invite a label representative who then in turn orders tickets for a VIP. It can be difficult at a glance to tell exactly where a request originated. Live Access keeps track of the history of every requests from it’s initial invitation so you can see exactly when and by whom a guest was invited.

Customized Email Notifications

Your guests are notified automatically at various stages of the request process. They receive an invitation to request tickets.  They may receive a confirmation that their request was received. When tickets are approved they may receive another message with further instructions. Because VIP guests all deserve special attention, a canned email won’t suffice.  Live Access allows you to customize all messages and control the outgoing email address as well .  You can configure messages to appear to be sent directly from your email, or any address that you choose. You control the message. The result is that your VIP guests always feel informed and comfortable that their request is being handled personally. It takes the mystery out of the process for your guests, and results in less phone calls for you to handle.

Guest Request Status

Every guest receives a personal login that they can use to check their ticket status. Although there are some VIP guests who request and receive tickets through personal interactions, a large tour will have many requests from non-industry people who are used to commercial ticketing systems. Let’s face it – people are excited to go to a show as a VIP and they are eager to receive feedback on their request. We’ve all come to expect some degree of order tracking once we’ve made a purchase.  The guest portal allows VIP’s to serve themselves and check their request status at any time. This provides assurance and tangible proof that their request is being handled. The result is that you don’t receive hundreds of phone calls before each show from concerned guests who don’t know where to pick up their tickets.
